Warm Desk

Get the admin off the desk. A person approves it.

A half-day working session that shows your team how to hand call notes, follow-ups, scheduling and client updates to the AI assistant you already pay for. They check every line. Nothing about a client or a candidate is decided by a machine.

For recruitment agencies, customer success teams and estate agents. London, Kent and the commuter belt. Which desk is yours?

Draft to Priya, in Sam's voice

Hi Priya, Sam here. It's been a few weeks since the move to Dartford. How is it going? If the hybrid pattern is holding up, great. If not, I have two roles on that would suit. Worth ten minutes this week?

From the record: placement date, location, the hybrid pattern. Not in the record: whether she is looking. Asked, not assumed.

Your tools already talk to each other. Nobody has shown your team how.

Your CRM, your inbox, your calendar and your phone system can already feed the assistant you pay for through Microsoft 365 or Google Workspace. The workshop shows the team what a connector is, which of your tools can link today, and which link to make first.

Then I build the rest, on your accounts and your keys, with a person approving every step. The product is the knowledge. The tools stay yours.

How working together goes

  1. Half a day

    The workshop

Half a day at your office. Four workflows everyone on the desk can run the next morning, a one-page AI usage policy, and a baseline of where the team's hours go.

£900 for up to 12 people

    What happens on the day
  2. Five working days

    The audit

Five working days on the one workflow your team kept using. You get a process map and three costed options for running it properly.

    £950, credited against a build

    How the audit works
  3. Fixed price

    The build

The chosen option, wired into your CRM and inbox, running on your own accounts, with a person approving each step. Fixed price, quoted in the audit.

What runs on your desk

The workshop puts the first four on everyone's desk the next morning, with a prompt pack in your team's own voice. The rest are built after the audit, on your accounts, with a person approving each step.

Call notes to the CRM

A call transcript becomes a note in your CRM fields, with a list of anything the person did not actually say.

Get your tools talking

What connectors are, in plain English, and a map of which of your tools can already talk to the assistant: the CRM, the inbox, the calendar, the phone system. The team leaves knowing which link to make first.

The Monday client report

Every client gets a Monday update in their account manager's own voice, built from the live pipeline: what was done, what moved, what happens next. Nothing is typed twice and no client has to chase on a Tuesday.

Gone quiet

Every client, account or candidate ranked by how long since you last spoke, across email, calls and the CRM. The opener is drafted from the record, the follow-ups are tracked in the same place, and nothing goes out until a person says so.

One desk for everything

The assistant reads your CRM, inbox, calendar and call notes together, tells each person what needs them today, drafts it, and sends nothing without their say-so. The biggest thing I have built, and the one teams ask about once the first three are running.

The rules I work to

  • A person approves everything the assistant writes before it reaches a client, a customer or a candidate.
  • No person is screened, ranked or rejected by AI. In recruitment the ICO treats that as the highest-risk use, and I don't teach it anywhere.
  • We use the tools you already pay for. If you only have free or personal accounts, the day runs on made-up data and choosing a business plan goes into your policy.
  • All the data on the day is synthetic. Nobody has to think about GDPR during the exercises.
  • Anything I build runs on your accounts and your keys, and you own it.

Things I've built

Before Warm Desk I worked in customer success at a B2B software scale-up of about 400 staff. These are three tools I designed and built there. Each one keeps a person in charge of what goes out.

  • One desk for an account team

Tells each account manager what needs them today and drafts the work. It never sends anything without their say-so.Picked up for rollout across a global team

  • Gone quiet, for an account team

Ranks every account by how overdue it is for a conversation, then drafts the opener from the account's history. Two meetings booked on the day it was built

  • A daily quiet-account alert

Compares every account with its own normal pattern rather than a company-wide average.Caught two customers quietly leaving in its first two months

Who you'd be working with

I'm Conor. I spent three years on an agency desk, then moved in-house as a Talent Partner, buying from agencies. After that I worked in software, where I ran AI training sessions for sales and customer success teams across several countries and built the tools above.

I know what a Monday on the desk looks like, and I know which AI promises survive contact with one.
